Selection guide: Workflow Automation

Artificin selection guide

Design for the ordinary case and the failure case

Practical selection advice. The suggestions below are not hands-on test results.

01

Connect the right systems

Check the exact actions you need in each application, including the fields exchanged. A listed integration may not support every operation in your process.

02

Keep decisions reviewable

Identify actions that need approval and where a person can correct the data. Check that you can see why a branch ran and what information it used.

03

Recover from errors

Try missing fields, duplicate events and an unavailable service with sample data. Check retries, alerts and whether repeating a step causes duplicate records.

Example process: organise incoming enquiries

A small test scenario with human review. This is a proposed process, not a tested downloadable automation.

  1. Use five synthetic enquiries, including a duplicate and one with a missing email address. Keep customer data out of the initial test.
  2. Capture the enquiry and normalise the fields. Use a stable identifier to prevent duplicate records.
  3. Classify the request, then place the proposed category and draft response in a review queue. Do not send the response automatically.
  4. Simulate an unavailable destination. Confirm the failure is visible and retrying does not create a duplicate.

Common problems and what to check

The same action runs twice

Use a stable event identifier and check whether it was already processed. A retry must not blindly repeat a side effect.

The AI output cannot be used by the next step

Validate required fields and allowed values before continuing. Send incomplete or uncertain outputs for review rather than guessing.

The workflow becomes expensive at volume

Estimate a complete month including failed runs, retries and AI-provider charges. Providers may count billable units differently.

A useful test before you subscribe

Map a small process and run it with three sample cases: valid data, incomplete data and a repeated trigger. Record the resulting records and errors. Compare the effort needed to diagnose and safely rerun a failed step.

Frequently asked questions

What should I test before enabling a workflow?

Test normal input, incomplete input, duplicate triggers and an unavailable dependency. Check approvals, error messages and a safe way to stop the process before connecting live data.
